I. General Summary: Execute the delivery of high level, professional, administrative services and expertise that require in-depth knowledge of the assigned functional area for senior management and executives. Provide bilingual communication support for TBA Executive Management.
II. Essential Job Functions:
A. Provide timely support to President and/or other Executive Management for: travel plans, processing expense reports, approving expense reports, full calendar management, and meeting scheduling & coordination.
B. Manage communication between Toyota Boshoku Japan and Toyota Boshoku Americas Management through companywide meetings including translation and follow-up.
C. Translation during multiple Executive meetings.
D. Document translation from TBJ.
E. Create well written speeches for President and/or other Executive Management.
F. Anticipate Executives needs, make recommendations and act accordingly
G. Interact with internal and external customers in a professional manner; communicate across all levels of the organization (local, group companies & globally).
H. Company Meetings & Events Plan, coordinate, orchestrate events and meetings including Executive events.
I. VISA Preparation Gather data and submit to Consulate to obtain VISAs; train other team members for requirements and process.
J. Provide computer & technical support and assist with problem solving (executives and team members), as needed
K. Budget Process and approve invoices for BOD, interact with A&F for budget preparation and reporting, prepare and maintain monthly reports for management.
L. Conduct Administrative meetings and trainings, understand issues, report matters of concern to management, make recommendations and maintain contact for on-going support.
M. Provide personal assistance to President and/or Executive Management, when needed. (Ex. maintain company vehicle and coordinate repairs for personal residences.)
III. Minimum Qualifications/Requirements:
High school diploma or GED required.
Associates degree in General Business or related field required or equivalent combination of education and experience.
Greater than two (2) years of relevant experience required.
Prior experience working as an administrative assistant for executive level management.

Language Skills:
Strong verbal and written communication skills in English and Japanese required.
ERP System experience (Oracle preferred).
Solid working knowledge and experience with Microsoft Office and other computer-based applications (e.g., MS Word, MS Excel, MS PowerPoint, Lotus Notes/Outlook, Internet, etc.).

V. Physical Demands:
Ability to sit and work on a computer for extensive periods of time is required. While performing the duties of this job, the team member is required to talk, see, and hear. The team member must be capable of walking, sitting, and standing for extended periods of time and is occasionally required to lift up to 30 pounds.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
