Schneider Electric has an opening for an Executive Assistant at our Erlanger, KY facility. The selected candidate will use independent judgment to provide timely and effective administrative and clerical support to multiple members of the Partner business leadership team. Other duties may include but are not limited to:
Cooperatively works with remote peers and supports remote leaders in a multi-cultural, multi-time zone environment
Screen telephone calls, incoming mail, publications and other correspondence, including confidential information. Establishes and maintains highly confidential files.
Assist in the management of department budget. Review and compare monthly expenses to budget reports.
Collects, compiles, formats and organizes monthly report material
Manages daily calendar within Lotus Notes email system for multiple leaders if required
Reserves domestic and international travel and hotel arrangements as needed; proactively identifying requirements for travel documents such as visas, invitation letters, etc.
Prepares and files expense reports as assigned using INFOR reporting system
General office duties such as word processing, spreadsheets, presentations, flow of correspondence, filing, requisition of supplies, faxing, etc.
Coordinates agenda and materials for meetings and training sessions and other activities of the organization
Prepares presentations
Maintains and updates databases, organizes and manages data on social media / shared sites as needed
Assists in preparation of business review materials
Provides meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics, note taking, minutes of meeting)
Sets up vendors in SRM system and processes orders and invoices
Maintains inventory for office supplies and computer software
Receives and distributes incoming mail and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution
Provides administrative support to staff for copying, faxing and large-scale mailings
Responds to staff requests for administrative support as needed
Ability to multi task and prioritize many work items simultaneously
This position requires a two year degree and five years of experience in a executive level administrative position in a demanding environment. Proficient computer skills including MS Office products, Lotus Notes and web applications. Excellent organizational skills, as well as verbal and written communication skills required. Results oriented and able to make decisions without direct supervisor involvement and open to work in a multi-cultural environment. Must have a positive attitude and flexibility to work outside of regular schedule when special events require admin support.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
